Internal Maintenance Checklist
Use this checklist to ensure that accessibility features remain functional and unblocked.
Daily / Weekly Checks
[ ] Entrances
- Power-assisted doors are operational.
- Door thresholds are clean of debris/gravel.
- Mats are flat and secure (no trip hazards).
[ ] Routes and Paths
- Corridors and fire exits are clear of storage or temporary displays.
- Minimum path width (900mm+) is maintained.
- No temporary cables or wires across the floor.
[ ] Lifts and Ramps
- Lifts are operational and clean.
- Lift buttons and voice announcements work.
- Handrails on stairs and ramps are secure.
[ ] Signage and Wayfinding
- Tactile signage is clean and undamaged.
- No temporary signs blocking permanent signage.
- Wayfinding cues (color-coded routes, directional arrows, landmarks) are visible and unobstructed.
- Objects at head-height are removed or made cane-detectable.
Monthly / Event-Based Checks
[ ] Assistive Devices
- Hearing loops are tested and functional.
- Sensory kits/receivers are fully charged and accounted for.
- Battery backup for power doors is tested.
[ ] Website and Communication
- Access guide URL is functioning.
- “Last Updated” date on website is refreshed.
- Contact phone/email for access queries is monitored.
[ ] Shop and Cafe Layout
- Mannequins or merchandise displays have not narrowed accessible paths.
- Low counter sections are not used for storage.
[ ] Event Space Preparations (If Applicable)
- Building access guide has been provided to event organizers.
- Event organizers have been contacted about accessibility requirements.
- Contracts specify requirement to maintain accessible routes during setup.
Event-Day Checks (For Buildings Hosting Events)
Use these additional checks on days when conventions, conferences, or meetings are held.
[ ] Pre-Event Walkthrough (Before Doors Open)
- All accessible routes remain clear (minimum 900mm width maintained).
- Temporary barriers (queue lines, registration tables) do not block accessible paths.
- Cables and AV equipment are covered, secured, or routed to avoid trip hazards.
- Steps, cables, or low obstacles marked with high-contrast tape.
- Permanent wayfinding signage not obscured by banners, posters, or temporary signs.
- Event signage placed without blocking permanent accessibility features.
[ ] Assistive Systems (Before Sessions Begin)
- Hearing loops tested and functional in all rooms being used.
- Microphones tested (including handheld for Q&A).
- Caption displays tested and positioned for visibility from wheelchair spaces.
- Interpretation positions have clear sightlines.
[ ] Facilities During Event
- Accessible toilets remain accessible (not blocked or repurposed).
- Quiet space available and monitored for appropriate use.
- Seating areas not blocked by event materials or equipment.
[ ] Staff Briefing
- Staff and volunteers briefed on accessible entrances, toilets, and routes.
- Staff know how to direct attendees to quiet space, accessible seating, assistive listening.
- Staff know the accessibility contact person and emergency procedures.
[ ] Post-Event Restoration
- Event materials removed from accessible routes.
- Permanent signage restored to full visibility.
- Facility returned to baseline accessible state.
- Any accessibility issues noted during event documented for improvement.

Quarterly / Annual Review
[ ] Photo and Visual Content Review
- Review all photos in access guide for accuracy and currency.
- Replace photos after renovations, layout changes, or significant updates.
- Update photos of seating arrangements if configurations have changed.
- Verify photo alt text is accurate and descriptive.
- Check that photos show current wayfinding signage and route markers.
- Document photo updates in the website change log.

Failure Plan Action
If any critical feature (lift, power door, toilet) is out of service:
- Place physical signage at the entrance.
- Update the website with a temporary alert.
- Notify reception/visitor services immediately.
